Practical ways to keep AI replies from sounding like a bot.
1. Give real examples
Ten of your real messages beat any instruction. Include the short ones (“yep, 3pm works”) — they teach the AI that short is fine.
2. Pick the right tone
Match how you actually text customers. “Friendly” suits most businesses; “formal” for clinics, law and finance.
3. List what it must not say
Anything that commits you — prices, refunds, delivery dates — belongs in Do NOT say. The AI will ask a question or keep it general instead.
4. Keep a human in the loop at first
Leave auto-send off for the first week and approve drafts from Drafts. Edit the ones that feel off, then add your edited versions to your examples.
5. Use working hours
Handle messages yourself during the day and let confident replies auto-send after hours, so customers are never left waiting overnight.
6. Respect opt-outs
Anyone can text STOP AI to stop AI replies to them; you can also tag a contact no-ai in Contacts.
